PD-Trak™ Budget and Schedule Worksheet

The Budget and Schedule Worksheet is used to establish a preliminary development schedule and budget early in the project prior to a more formal project plan and costed resource estimate. It is also used as one method to maintain the current schedule and cost estimates for development. This schedule and cost estimate are rolled up to the Financial Justification Worksheet. and the Project Brief.

A schedule can be established in one of two ways: 1) a start date is entered and then stage or phase durations are entered and the PD-Trak calculates the gate/milestone dates, or 2)dates are entered for each gate/milestone and PD-Trak calculates the duractions of each stage/phase. The first approach is based on reviewing how long it took to complete similar projects. The second approach is useful when its important to hit a particular date such as a customer due date or a trade show introduction date.

Schedule Setup

Once the proposed project schedule is created, a budget is then developed by determining the human resources and other non-recurring development costs required. A table is established to define resource types and there related costs. These resources are selected as required for the project. Considering similar past projects, manpower requirements are planned by stage/phase. PD-Trak will use the cost of the manpower resource from the table to determine the project cost by stage/phase based on the headcount and the stage/phase duration. Other non-recurring costs are then added to determine the budget by phase and overall. These non-recurring costs are broken down into capital and non-capital expenditures.

Product Development Expense Worksheet

Two identical tables are provided: the baseline plan (which cannot be changed once the baseline point is passed) and the current plan.

As the project moves forward, manpower requirements, non-recurring cost estimates, and gate/milestone dates are maintained to reflect the current schedule and cost estimate. The Budget and Schedule Worksheet in integrated with MS Project to obtain gate dates based on the current plan at the discretion of the project manager.
