New Implementations - Steps and Support Services

PD-Trak Solutions offers a range of services to assist clients with new PD-Trak implementations.  Note that implementations vary in scope considerably and some services may not be needed.

Implementation Timeline

The implementation steps are as follows:

1. Define processes (stage/phase gate, portfolio/resource management, gate reviews)

2. Implementation preparation (gather required information, tools and document templates)

3. Installation, configuration and training.

If your processes are already well defined, steps 2 and 3 take 1-2 weeks.  Some time will then be required for the project managers to move their existing projects into PD-Trak, typically in the range of 4-12 weeks.

Process Definition

Achieving project execution excellence requires that four process areas be optimized.  If you have existing processes in use in these areas, we recommend that the implementation process start with an assessment of existing process effectiveness.  These assessments are based on the review of process documents, project data and  interviews with key personnel which may be conducted on site or by telephone. 

If needed, process definition workshops are held to develop your stage/phase - gate process, portfolio/resource management processes and gate review process based on industry best practice principles.

Implementation Preparation

In this step we gather the information needed to configure your PD-Trak system including types of projects to be managed, details of your existing stage/phase-gate process (if not covered in a preliminary process assessment), resource types, resource names, project categories (to support filtering management reports), financial factors for ROI calculations etc.

PD-Trak Implementation

The software is installed and configured using the information gathered in the prior step.  Some of the key items that can be configured are: business area list, user access table, project category list, currency conversion rate table, resource types, resource names, resource groups, default financial factors, metrics for measuring project performance, project brief format, financial justification format, default settings for management reports.

The training materials may be customized to describe the specifics of your process(es). 

Training is provided to groups of users as follows:

  • Introduction to PD-Trak
    • An overview of PD-Trak functionality and the underlying processes.  Audience - anyone involved in the related projects

  • Project Management Tools
    • A computer based class for project managers and power users of the project level tools

  • Introduction to PD-Trak Management Functions
    • An overview of management functions is provided at this point. Detailed training is usually provided 3-6 months after initial deployment, if applicable.

  • PD-Trak Administration
    • Training on PD-Trak administration functions

  • Project Migration Workshop
    •  A hands on workshop to assist project managers to move existing projects into PD-Trak
